Order Terms

Rensino Building Board Co., Ltd. supplies building and decorative materials to international B2B customers, including acoustic panels, aluminum composite panels, ceiling tiles, steel sheets, corrugated steel products, flooring, plastic sheets and panels, veneers, tiles, and related multifunctional materials. The following ordering process is intended to help importers, distributors, contractors, and project buyers communicate requirements clearly and complete orders efficiently.

1. Inquiry and Product Selection

Please send your inquiry with as much product and project information as possible. Clear requirements allow us to evaluate feasibility and prepare an accurate quotation.

For products such as corrugated steel sheets, prepainted galvanized or galvalume steel, please include the base material, thickness, width, profile, coating, paint system, color, and sheet length. For flooring, panels, boards, tiles, and veneers, please provide the dimensions, surface design, edge treatment, backing or core requirements, and installation-related details where applicable.

2. Samples and Product Evaluation

Samples may be arranged when customers need to review color, texture, material, finish, profile, or general workmanship before placing an order. Sample availability, sample charges, tooling costs, and courier expenses depend on the product and customization requirements and will be confirmed before dispatch.

A sample is intended for evaluation and may not represent every feature of mass production. Natural materials, printed patterns, coating batches, metallic surfaces, and production processes may result in reasonable variations between samples and finished goods. Any critical acceptance criteria should be agreed upon in writing before order confirmation.

3. Customization and Quotation

Rensino Building Board Co., Ltd. reviews each request according to the selected material, specifications, quantity, customization level, packing method, destination, and applicable shipping terms. Custom colors, dimensions, surface treatments, profiles, labels, packaging, and other OEM requirements are subject to technical review and confirmation.

The quotation will normally identify the product description, specification, quantity, unit price, price basis, packing method, estimated production schedule, payment arrangement, quotation validity, and applicable trade term. Minimum order requirements may vary by product, specification, color, and production process.

Prices may be adjusted if the customer changes the specifications, quantity, packing, delivery terms, or other order conditions. Freight, insurance, duties, taxes, destination charges, and customs-related expenses are included only when expressly stated in the quotation.

4. Order Confirmation

An order proceeds after both parties confirm the commercial and technical details in writing. Depending on the transaction, the confirmed documents may include a quotation, proforma invoice, purchase order, specification sheet, drawing, color reference, packaging instruction, label file, or approved sample.

Before confirming the order, customers should carefully review:

Any requested change after confirmation is subject to feasibility review. Changes may affect the price, material usage, tooling, production schedule, packing, or delivery arrangement. Production changes should not be considered accepted until they are confirmed in writing by Rensino Building Board Co., Ltd.

5. Payment Terms

Payment terms are determined according to the order value, product type, customization requirements, production arrangement, and transaction history. The applicable payment method, currency, payment schedule, and bank information will be stated in the confirmed quotation or proforma invoice.

Production and shipment arrangements are subject to receipt of the required payment or payment document under the agreed terms. Customers should use only the bank account information shown on an officially confirmed commercial document. If any bank details appear to change, please verify the change directly with our authorized representative before making payment.

Bank charges and other transaction costs are handled according to the agreed payment terms. Delayed payment, incomplete payment, or an unconfirmed payment reference may affect material purchasing, production scheduling, document release, or shipment.

6. Production Approval and Quality Check

Production is arranged according to the confirmed order documents and agreed specifications. For customized products, we may request approval of drawings, artwork, color references, profiles, samples, or pre-production details before full production begins.

Order progress may be communicated through production updates, photographs, videos, or document reviews where practical. These materials support communication but do not replace an agreed inspection procedure when formal inspection is required.

Products are checked against the confirmed order requirements during or after production, as appropriate to the product. If the customer requires third-party inspection, special testing, or specific documentation, the request should be submitted before order confirmation. Related availability, costs, sampling methods, and inspection timing must be agreed upon in advance.

Production and completion dates are estimates unless otherwise expressly confirmed. Timing may depend on final specification approval, payment status, raw material availability, order quantity, customization, inspection requirements, packing, and logistics conditions.

7. Packing and Marking

Packing is selected according to the product’s dimensions, weight, surface, handling needs, shipping method, and destination. Depending on the goods, packing may include cartons, protective film, corner protection, bundles, pallets, crates, moisture-resistant materials, or other suitable methods.

Export packing is designed for normal transportation and handling conditions. Customers must inform us before quotation if the shipment requires special reinforcement, stack limits, fumigation-related documentation, retail packaging, multilingual labels, branded packaging, or destination-specific packing standards.

Customer-provided logos, trademarks, designs, and label content are used according to the confirmed instructions. The customer is responsible for ensuring that supplied branding and artwork may be lawfully used in the destination market.

8. Shipping and Delivery

Shipping may be arranged by sea, air, courier, rail, truck, or combined transport, depending on the order size, product characteristics, destination, and customer requirements. The applicable Incoterm, departure point, destination, freight responsibility, insurance arrangement, and document requirements will be confirmed for each order.

Estimated transit times are provided for planning purposes and may be affected by carrier schedules, port congestion, customs procedures, weather, routing changes, public holidays, or other conditions outside the seller’s reasonable control. Any change in freight rates or shipping arrangements will be handled according to the confirmed order terms.

Customers are responsible for providing correct consignee details, contact information, tax or registration information, and import documentation requirements in sufficient time. Import duties, local taxes, customs clearance, storage, demurrage, detention, and destination charges are allocated according to the agreed trade term and carrier conditions.

9. Shipping Documents

Commercial documents are prepared according to the confirmed order and shipping arrangement. These may include a commercial invoice, packing list, bill of lading, certificate of origin, or other agreed documents. Any destination-specific legalization, certification, inspection, or document format requirement must be communicated before order confirmation so that availability, timing, and cost can be reviewed.

Draft shipping documents may be provided for confirmation where applicable. Customers should check company names, addresses, product descriptions, quantities, and other required information promptly to avoid document amendment charges or clearance delays.

10. Receipt and Inspection of Goods

Customers should inspect the shipment promptly upon arrival. Before unloading or signing the carrier’s receipt, check the external condition of the packaging, container, seals, bundle count, and visible signs of damage. Any apparent loss or transport damage should be recorded on the delivery document and reported to the carrier in accordance with the carrier’s claim procedure.

After receipt, verify the product type, quantity, specifications, color, dimensions, and general condition against the confirmed order documents. Products should be stored, handled, conditioned, and installed according to their material characteristics and intended application. Installation or processing should not continue if a material issue is suspected.

11. Claims and After-Sales Communication

If an order-related issue occurs, please contact Rensino Building Board Co., Ltd. promptly and provide the order or invoice number, product identification, affected quantity, clear photographs or videos, packaging information, and a detailed description of the issue. Samples or additional records may be requested when needed for evaluation.

Claims are reviewed based on the confirmed specifications, approved references, inspection information, shipping records, storage conditions, handling, installation, and intended use. The appropriate response will be discussed according to the verified circumstances and the agreed order terms.

Products should not be returned, reworked, disposed of, or otherwise altered without prior written agreement. Unauthorized action may make it difficult to verify the issue or determine an appropriate solution.

12. Ongoing Orders and Project Support

For repeat orders, blanket requirements, distribution programs, or project-based purchasing, customers are encouraged to provide forecasts and specification updates in advance. Raw materials, colors, printed designs, surface finishes, and production batches may vary over time, so repeat orders should reference the previous order while reconfirming all current requirements.

Rensino Building Board Co., Ltd. supports ongoing communication from initial product selection through production, shipping, and after-sales review. All final commercial and technical conditions remain subject to the written documents confirmed for each individual order.
